    Office and Society Administrative Assistant

    FASS, Inc. is seeking an administrative assistant to provide administrative support to assigned societies and high-level customer service to society members. Position also supports administrative aspects of the FASS office.

    Responsible for invoicing, accounts receivable, and monthly journal page charge invoicing on behalf of assigned societies (40%)

    • Send out page charge invoices and receipts monthly when an issue is sent out for print.
    • Prepare early invoices as requested.
    • Process accounts receivable invoice payments, receipts, wire transfers, checks, and credit cards.
    • Send monthly reminders and follow-ups to authors for past-due invoices.
    • Make requested changes to invoices.
    • Invoice and process payment for conference sponsors.
    • Invoice for publication charges and open access.
    • Collect publication forms, mark open access, and page numbers when the issue is ready to go to the printer.

    Provide outstanding membership and customer service to assigned societies (50%)

    • Answer all membership and non-membership e-mails, phone calls, and inquiries for assigned societies within one business day.
    • Process membership renewals, meeting registrations, invoices, and other payments as needed; update membership database with revised and new information.
    • Process conference registrations and receipts, make changes, and process refunds as needed.
    • Review and updates for the assigned societies’ websites.
    • Mail publications on behalf of assigned societies as needed.
    • Process certificates for assigned societies when needed.

    Maintain the FASS office administration flow by providing general administrative and switchboard support (10%)

    • Order, organize, and store office supplies.
    • Coordinate with building for office needs, including janitorial.
    • Answer switchboard and route calls
    • Route mail and faxes.

    Required Knowledge, Skills, and Abilities

    • Basic knowledge of office etiquette and administrative assistant practices.
    • Advanced knowledge of Office Products (MS Office, Word, Excel, and PowerPoint)
    • Basic knowledge of database management, including MS Access
    • Beginning knowledge of ClearVantage
    • Beginning knowledge of office postage machinery
    • Possess strong customer service skills.
    • Excellent verbal and written communication skills.
    • Quick and accurate data entry.
    • Able to handle sensitive information and maintain the highest levels of confidentiality.
    • Able to learn and process information quickly.
    • Able to multi-task, well organized, and effective time management skills.

    Required Education and Experience

    • Associates Degree in Business Administration, or related field required.
    • Minimum of 2 years of experience in general office administration preferred, or proven self-starter with at least 6 months office experience required.
